From Busy to Strategic: Systems That Free Up Your Time with Kathi Burns
In my recent episode of The Social Media Takeaway podcast, I’m joined by Kathi Burns CPO®, a strategic adviser and productivity expert, founder of Organized & Energezed, as well as 2-times best selling author.
We talked about productivity, systems, and why so many business owners feel busy all the time… but still feel like they’re not moving forward.
Not because they’re doing anything wrong. But because they’re stuck in the day-to-day.
What really stood out to me is how many business owners are operating this way.
I see it with clients. And if I’m honest, I’ve experienced it myself at different stages in my business.
You can catch the full conversation on my podcast, available on all major platforms (iTunes and Spotify) and on my YouTube channel.
According to Kathi:
1. Busy doesn’t mean productive
This is something I see all the time.
Kathi said, “Busy means you’re generally just doing stuff that you can cross ’em off the list and feel like you’re doing something important. ”
Because you can have a full day, tick off a long list, and still avoid the work that grows your business.
From my perspective, this is where many business owners get stuck. They’re working hard, but not always working strategically.
2. You’re likely losing time without realising it
One insight from this conversation really stayed with me.
The average entrepreneur loses 4 hours every week just looking for things.
Emails. Documents. Tabs.
That’s not about being disorganised. That’s about not having the right systems in place.
And over time, that lost time becomes a real cost to your business.
3. You might be working below your pay grade
This one will challenge a lot of people.
Kathi’s advice was simple:
“Delegate what you hate. Delegate what you can’t do. Delegate what’s below your pay grade.”
But in reality, many business owners hold on to everything.
They stay involved in tasks they’ve outgrown.
And in doing that, they limit the time they have for the work that drives revenue and growth.
4. Systems give you space to think properly
There’s often resistance to systems.
People think they’ll feel restrictive.
But what I’ve seen, and what Kathi reinforced in this conversation, is the opposite.
Systems give you: Clarity, Structure, and Headspace
And that’s what allows you to step back and think strategically about your business.
This conversation made me reflect on one simple question:
👉 Where am I spending time that I shouldn’t be?
Because if you’re always in the weeds, always reacting, always “on”…
You don’t have the space to lead.
And that’s where your role as a business owner really matters.
One thing I liked about Kathi’s approach is how practical it is.
Grab Kathi’s little treat, her free Paper Flow Blueprint that you can download to get started.
It gives you a clear starting point if you’re feeling overwhelmed by paperwork or just don’t have a system that works.
Simple. Useful. And very easy to implement.
